Refund and Cancellation Policy

Company Name: BIT LOGIC TRAVEL (“BIT LOGIC TRAVEL”, “we”, “us”) operates as a facilitator, connecting users with airlines, hotels, bus operators, cab operators and other travel service providers (“Service Providers”).
Our refund and cancellation policy is governed by the rules set by the respective Service Providers along with BIT LOGIC TRAVEL’s own processing terms.


1. General Policy and Facilitator Role

Service Provider Rules Apply

All cancellations and refunds are strictly subject to the fare rules and cancellation policies of the respective airline, hotel, bus operator, cab operator or tour operator.

BIT LOGIC TRAVEL’s Role

We act only as an intermediary. Our responsibility is limited to processing bookings and forwarding cancellation or refund requests to the respective Service Provider.
Refunds are initiated only after the Service Provider releases the refund to us.

Non-Refundable Convenience Fee

Any convenience fee charged by BIT LOGIC TRAVEL at the time of booking is non-refundable.

BIT LOGIC TRAVEL Service / Processing Fee

In addition to Service Provider penalties, BIT LOGIC TRAVEL may deduct a service or processing fee from the refundable amount. This will be transparently shown during the cancellation process.


2. Cancellation Process

How to Cancel

All cancellation requests must be initiated online through the “My Trips” or “Manage Booking” section on our website or mobile application.

If a user cancels directly with the Service Provider, BIT LOGIC TRAVEL must be informed in order to process the refund.

Timing Matters

Cancellation charges depend on how early or late the cancellation is made relative to the travel date or hotel check-in time.

No-Show Policy

If the customer fails to board, arrive, or check in for the booked service (“No-Show”), no refund will be provided, as per the Service Provider’s policy.


3. Product-Specific Cancellation Rules

A. Flights

  • Refunds depend solely on the airline’s fare rules (Saver, Flexi, Promotional, etc.).

  • Discounted or promotional fares may be non-refundable.

  • Certain statutory or government taxes may be refundable even for non-refundable tickets, subject to airline rules.

  • No refund is applicable for partially utilized tickets.


B. Hotels

  • Hotel-specific cancellation rules apply.

  • Many hotels impose cancellation charges within 48–72 hours of the scheduled check-in time.

  • Non-refundable, last-minute or promotional hotel bookings usually offer zero refund.


C. Tour Packages

As tour packages involve multiple vendors, cancellation charges are generally higher and follow a tiered structure:

  • 30+ days before travel: Full refund minus administrative charges

  • 15–29 days before travel: 50% refund of the total package cost

  • Less than 15 days before travel: No refund

Exact cancellation slabs may vary based on the individual package terms.


D. Cabs / Ground Services

Cancellation and refund eligibility for cab or local transport services will be governed by the respective cab operator’s policy.
Late cancellations or no-shows may attract full or partial charges.


4. Refund Processing and Timelines

Mode of Refund

Refunds will be credited to the original payment method used at the time of booking.

Refund Timeline

After successful initiation of the cancellation request:

  • 3–5 business days – to receive approval and the refundable amount from the Service Provider

  • Additional 7–14 business days – for the amount to reflect in the customer’s bank account or card statement

These timelines are indicative and depend on the Service Provider and banking channels.

Final Refund Calculation

Final Refund Amount =

Booking Amount
– Service Provider cancellation / no-show penalties
– BIT LOGIC TRAVEL service or processing fee
– Non-refundable convenience fee


5. Amendments and Unforeseen Circumstances

Amendments

Any change to the travel date, destination, traveler name, or other booking details is treated as a cancellation and re-booking.
Such changes are subject to:

  • new fares,

  • Service Provider charges, and

  • applicable administrative or processing fees by BIT LOGIC TRAVEL.


Force Majeure

BIT LOGIC TRAVEL shall not be liable for cancellations, delays, or changes caused by events beyond our control, including but not limited to natural disasters, government regulations, strikes, operational disruptions, or airline schedule changes.
In such cases, refunds will be processed only if and when the respective Service Provider provides a refund or compensation.


Service Quality and Discrepancy Disclaimer

BIT LOGIC TRAVEL is not responsible for any variation between images, descriptions or representations shown on the website and the actual service delivered by the Service Provider.
We are also not responsible for the quality, standards, or conduct of any Service Provider.
Our liability is limited to providing confirmed booking details to the customer.
